POSITION OVERVIEW
The Project Administration Specialist plays a vital role in supporting BravoZulu’s operational and corporate functions. This position provides comprehensive administrative support to leadership and project teams, ensuring effective coordination of documentation, scheduling, procurement, and compliance. It is well-suited to individuals with experience in public service, military operations, or complex project environments.
KEY QUALIFICATIONS
Essential:
Post-secondary education in administration, business, public policy, or a Minimum 3 years of experience in administrative or project coordination roles
Strong organizational and time management skills with attention to detail
Proficiency in Microsoft Office Suite and project management tools
Excellent written and verbal communication skills
Experience working with diverse teams and stakeholders
Desirable:
Familiarity with Department of National Defence (DND), Canadian Armed Forces (CAF), or other public sector operations
Veteran status or experience supporting military or government organizations
Bilingualism (English/French)
Knowledge of ISO standards, ERP systems, or project management software
RESPONSIBILITIES
Maintain and organize project documentation, records, and reporting in accordance with company and client standards
Support procurement processes including vendor communications, purchase orders, and invoice tracking
Coordinate meetings, calendars, travel logistics, and deployment planning
Assist in preparing presentations, briefings, and correspondence for internal and external stakeholders
Monitor project timelines and deliverables, flagging risks and supporting mitigation efforts
Ensure compliance with contractual, regulatory, and organizational policies
Liaise with internal departments and external partners to facilitate smooth project execution
